Summary:

This part time position in is primarily responsible for providing office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects by performing the following duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Core duties and responsibilities include the following. Other duties may be assigned. 

  • Answers and directs incoming calls. 
  • Supports prospective client & franchise sales by setting & verifying appointments and putting on the appropriate calendars. 
  • Performs data entry in the web client database. 
  • Receives client payments, inputs into financial database and deposits checks. 
  • Print & mail monthly recurring invoices 
  • Run client aging report and follow-up with appropriate clients for payment. 
  • Updates the Unit Franchisee newsletter once a month. 
  • Performs other general administrative duties, as needed.

EDUCATION AND/OR EXPERIENCE:

Associate's degree (A.A.) or equivalent from two-year College or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

 

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.

 

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

 

COMPUTER SKILLS:

To perform this job successfully, an individual should have knowledge of:  Database Software (Access); Internet Software; Spreadsheet Software (Excel); Contract Management Systems; Inventory Software; Order Processing Systems; Word Processing Software (Word); Electronic Mail Software (Google); and Presentation Software (PowerPoint).

Important Notes

This position is part time Tuesday - Thursday 9:00 am - 4:00 pm.   Can work some days at home but must have the ability to access the internet, answer phone calls print & fax.
